HR Specialist

Location: Warsaw

Position summary:

This position is responsible for personnel administration and payroll processing for Polish entity, including compensation & benefits in line with company policies and industry best practice. In this position, you will also have the chance to develop other skills (e.g., recruitment, exit interviews, employee engagement) to become an HR Generalist in the future. The position is located in Warsaw with the possibility of working in a hybrid model.

Key responsibilities:

  • Assist the HR Manager with the implementation of all human resources strategies and objectives
  • Be responsible of preparing monthly transactional data for the payroll system, conducting monthly payroll analyses and reports
  • Maintenance of personnel and payroll documentation and its archiving in accordance with applicable regulations
  • Be responsible for the company car fleet management, close cooperation with the vendors (Poland and Slovenia)
  • Be responsible for the administration of all hiring processes.
  • Assist HR Manager for the facilitation of orientation program for the newcomers
  • Supervision of the timeliness of medical examinations and occupational health and safety training
  • Preparation of documents for Social Security (ZUS), PPK, GUS , PFRON, Tax Office
  • Be responsible for; administration of the Company Social Benefits Fund, employee benefit program (Multisport, medical care, life insurance, etc.)
  • Preparation of employment contracts and documents related to the labor law and termination of employment and civil law contracts
  • Updating company regulations and procedures according to the global/regional notifications.
  • Monitoring changes in labor law, tax law and social insurance and their proper application in practice
  • Cooperation with HR and Administration suppliers, coordination purchase orders for HR and Administration
  • Preparation of data for salary surveys
  • Translating global communication to the employees from English to Polish language

Required qualifications:

  • Bachelor/master degree level or comparable relevant HR related university studies/degrees
  • Min. 2-3 years’ experience in a relevant HR position
  • Very good knowledge of labor law, personal income tax rules,social security and ZFŚS,
  • Good command of English both in written and verbal communications. (min B2)
  • Fluent in Polish
  • Very good interpersonal and communication skills (written and spoken)
  • Experience working in international business environment
  • High sense of drive and urgency with a positive outlook
  • Ability to work independently as well as thrive in a cooperative work environment
  • Experience with HRIS (e.g., Workday) as well as MS Office (Word, Excel, Power Point)
  • Experience in working with payroll systems, knowledge of ADP system would be an advantage

Job Description

In this role, you will:

  • Process orders from customers’ in SAP
  • Supervise orders from the moment of entering them into the system until delivery and billing
  • Answer on internal/external customers’ request via email/phone
  • Handle customers’ complaints according to the appropriate procedure (SAP and SalesForce)
  • Build and maintain positive relationships with existing and new customers
  • Identify and implement improvements among existing processes
  • Cooperate with Sales/Logistics/Credit&Collection/Marketing/Finance
  • Participate/work on global/local projects
  • Execute company goals and KPIs

In this role you need:

  • Proficiency in Hungarian,
  • Good command of English,
  • Knowledge of Polish (advantage),
  • At least 2 years of B2B customer service experience,
  • Extensive knowledge about the mechanisms, practices and standards used in the area of customer service,
  • High personal culture and Customer orientation,
  • Motivation, accuracy and attention to details,
  • Strong problem solving, analytical and interpersonal skills,
  • Ability to gather information, analyze and propose solutions,
  • Excellent oral and written communication skills,
  • Ability to communicate effectively with various levels in the organization,
  • High capabilities to develop and maintain business relationships in a diverse business environment,
  • Good command of MS Office,
  • Experience with SAP (preferably SD module),
  • Confident in a tech environment and comfortable with software SalesForce, EDI solutions (nice to

have).
